This Privacy Policy is structured to mirror industry-standard disclosures and is intended to comply with applicable U.S. state privacy laws, including the Texas Data Privacy and Security Act (TDPSA), the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), other applicable U.S. state privacy laws, federal law, and international data protection regulations where applicable.

1. What Information Do We Collect?

We collect personal information that you voluntarily provide to us and information that is automatically collected when you interact with the Website.

Personal information you may voluntarily provide includes your email address, your website or company URL, and any other information you choose to submit when contacting us or expressing interest in Scout7.ai.

We also automatically collect certain technical and usage information when you visit the Website, such as your Internet Protocol (IP) address, browser type, device information, operating system, referring URLs, pages viewed, and interaction data. This information does not directly identify you but helps us operate, secure, and improve the Website.

2. How Do We Process Your Information?

We process your personal information for legitimate business purposes, including to:

Respond to inquiries
Send marketing communications
Improve our services and AI systems
Perform analytics
Ensure security
Prevent fraud

3. What Legal Bases Do We Rely On to Process Your Personal Information?

If you are located in the European Economic Area or United Kingdom, we process your personal information only when we have a valid legal basis, including:

Your consent
The performance of a contract
Compliance with legal obligations
Our legitimate business interests that do not override your fundamental rights

We may share your personal information in the following circumstances:

Business Transfers: In connection with mergers, acquisitions, or financing transactions.

Third-Party Platforms: With your authorization, our AI agents may interact with third-party platforms including LinkedIn, Product Hunt, X (Twitter), Reddit, Meta (Facebook and Instagram), TikTok, YouTube, Pinterest, Snapchat, Google PMAX, and other marketing platforms.

Advertising Platforms: If you use Scout7 to create or manage advertising campaigns, we may share your Brand Assets (logos, trademarks, ad creatives, copy, videos, and other marketing materials) with third-party advertising platforms such as Google Ads, Meta Ads, LinkedIn Ads, TikTok Ads, X (Twitter) Ads, and Pinterest Ads on your behalf. See Section 14 for details.

Service Providers: We may share information with trusted service providers that assist us with hosting, analytics, payment processing, customer support, security monitoring, and professional services such as legal and accounting.

AI Infrastructure Providers: We may transmit data you submit through the Services (including prompts, URLs, and Contributions) to third-party AI model and infrastructure providers for the purpose of generating Outputs. These providers process data under data processing agreements that restrict their use of your data. Scout7 does not permit AI infrastructure providers to use your Contributions to train their general-purpose models.

Connected AI Assistants: If you connect a third-party AI assistant to your workspace, that assistant's provider receives the data your assistant requests under your connection. See Section 13A.

Portfolio and Marketing Use: We may use deliverables generated through the Services on your behalf for Scout7's marketing, portfolio, case study, and demonstration purposes, including identifying you or your brand by name or logo. You may opt out of this use at any time. See Section 16 for details.

Legal Requirements: We may disclose information when required to comply with applicable law or legal process.

Categories of Service Providers: The following categories of service providers may receive or process your personal information in connection with the Services:

Hosting and Infrastructure — Cloud compute, storage, and content delivery
AI Model Providers — Large language model inference and AI processing
Analytics — Website usage analytics and behavioral insights
Error Monitoring — Application performance monitoring and error tracking

You may control cookies through your browser settings; however, disabling cookies may affect site functionality.

Scout7 offers two ways to sign in: Sign in with Google and passwordless email links (a one-time sign-in link sent to your email address). Scout7 accounts are currently passwordless.

If you sign in with Google, we receive your name, email address, and profile picture from Google. We use this information only to authenticate you and to create and maintain your Scout7 account. We do not receive your Google password. Your use of Google sign-in is also subject to Google's terms and privacy policy, and you can review or remove Scout7's access in your Google account settings.

If you sign in with an email link, we use your email address to send the link and to identify your account; other uses of your email address are described in Section 2.

Scout7 does not currently offer sign-in through any other social media platform. If additional sign-in options are introduced, this Privacy Policy will be updated accordingly.

7. How Long Do We Keep Your Information?

We retain personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

Transactional, accounting, and referral data may be retained for up to seven (7) years.

When information is no longer needed, it is deleted or anonymized.

8. How Do We Keep Your Information Safe?

We use reasonable technical and organizational security measures to protect your personal information. However, no system is completely secure, and we cannot guarantee absolute security.

9. What Are Your Privacy Rights?

Depending on your location, you may have rights to:

Access your personal information
Correct your personal information
Delete your personal information
Restrict or object to the processing of your personal information
Request data portability
Withdraw consent

10. Controls for Do-Not-Track Features

Most web browsers include a Do-Not-Track ("DNT") feature. Because there is no uniform standard for recognizing or responding to DNT signals, we do not currently respond to DNT browser signals.

11. Do United States Residents Have Specific Privacy Rights?

Yes. Depending on your state of residence, you may have specific rights regarding your personal information.

California Residents

Under the California Consumer Privacy Act ("CCPA") and the California Privacy Rights Act ("CPRA"), California residents may have the right to:

Request access to the personal information we collect
Receive details about how we use and disclose personal information
Request correction or deletion of personal information
Limit or opt out of certain uses of sensitive personal information

California residents also have the right not to be discriminated against for exercising their privacy rights.

Scout7.ai does not sell or share personal information as those terms are defined under California law.

Texas Residents

Under the Texas Data Privacy and Security Act ("TDPSA"), Texas residents may have the right to:

Confirm whether we process their personal data
Access such data
Correct inaccuracies
Delete personal data
Obtain a copy of their personal data in a portable format

Texas residents may also have the right to opt out of certain processing activities, including targeted advertising.

Other U.S. States

Residents of other U.S. states may have similar rights under applicable privacy laws. We will respond to verified consumer requests in accordance with applicable legal requirements.

12. Government and Law Enforcement Requests

We may disclose personal data if required to do so by law or in response to valid requests from public authorities.

We review requests before disclosure to confirm they are legally valid.
Where appropriate, we may challenge requests that are unlawful or overly broad.
We disclose only the minimum amount of data necessary to comply with the request.
We maintain records of requests and our responses where legally permitted.

13. AI-Generated Outputs and Data Usage

Scout7 processes data you submit (including prompts, URLs, feedback, and other Contributions) through proprietary algorithms, machine learning models, and automated systems to generate insights, recommendations, creatives, and other outputs ("Outputs").

Data we process in this context includes:

Content, prompts, and data you submit to the Services
Publicly available online information and digital signals analyzed by the Services
Platform-level data from third-party sources

How we use this data:

To generate Outputs for your use in accordance with our Terms of Service
To improve, train, and refine our AI models and systems using aggregated or anonymized data
To maintain and enhance the accuracy, quality, and functionality of the Services

You acknowledge that Outputs are produced through automated systems and may be incomplete, inaccurate, or context-dependent. Scout7 retains all rights in its underlying technology, models, and methodologies, and in any aggregated or anonymized data derived from the Services. You are granted a limited license to use Outputs for your internal business purposes, subject to the prohibited uses described in our Terms of Service.

Outputs are generated using a combination of Scout7's proprietary systems and third-party AI model providers. Your Contributions may be transmitted to these providers solely for inference purposes and are subject to contractual protections that prohibit such providers from using your data for their own model training or improvement purposes.

Scout7 does not use AI-generated Outputs to make automated decisions that produce legal or similarly significant effects on individuals without human review.

13A. Connected AI Assistants (MCP)

Scout7 lets you connect a third-party AI assistant — for example Claude (Anthropic) or ChatGPT (OpenAI), or another client that supports the Model Context Protocol ("MCP") — to one of your brand workspaces through Scout7's remote MCP server (currently hosted at mcp.scout7.ai). This section explains what a connection is, what data it involves, and the choices you have.

What a connection is: A connection is created only by you, from within the assistant, using your Scout7 account. Each connection is bound to a single brand workspace that you select, and the consent screen shows the permission scopes the assistant is requesting before you approve them. Scout7 does not connect an assistant to your workspace on its own initiative.

What the assistant can access: Under the scopes you approve, the assistant can read data in the connected workspace — including your brand profile, topics, audits and AI-visibility results, content, posts, calendar, and the conversations Scout7 has collected for your brand — and can create and edit drafts. It can also request actions such as publishing, scheduling, or running audits. By default, actions that publish content or consume credits require your confirmation in the assistant before they are carried out, unless you have enabled an autonomous mode in your account settings (see our Terms of Service). A connection does not give the assistant access to any workspace other than the one you selected for it.

Tokens and scopes: Connections use OAuth 2.0. When you approve a connection, Scout7 issues a time-limited access token bound to your user account, the selected workspace, and the approved scopes. Scout7 does not receive the credentials for your assistant account, and the assistant does not receive your Scout7 sign-in credentials. You can revoke a connection at any time in Scout7 (MCP Server) or by removing the connector in the assistant; revocation takes effect on the assistant's next request.

The AI provider is not Scout7: Your prompts, the assistant's responses, and any workspace data retrieved into the conversation are processed by the assistant's provider — for example Anthropic or OpenAI — as an independent controller or processor under that provider's own terms and privacy policy. Scout7 does not control, and does not take responsibility for, that provider's retention, training, or security practices, and we encourage you to review them. Scout7 transmits data to an assistant provider only in response to requests that your assistant makes under your connection.

What Scout7 records: Scout7 logs each tool request made through a connection — the tool name, request parameters, workspace, connected client, timestamp, and outcome — for security, support, and billing purposes. Scout7 does not store your conversation with the assistant. Connection logs are retained for [__] months, or longer where required by law.

Training: Scout7 does not use your workspace content or assistant conversations to train general-purpose AI models, and contractually prohibits its model providers from doing so. We may use aggregated or anonymized usage data to improve the service, as described in Sections 4 and 13.

Your controls: You can revoke a connection as described above, and you can request a copy or deletion of your connection logs by contacting privacy@scout7.ai. The rights described in Section 9 apply to personal information processed in connection with a connected assistant, and you can exercise them through the same address.

If you use Scout7 to create, manage, or launch advertising campaigns, you authorize Scout7 to share your Brand Assets and campaign data with third-party advertising platforms ("Ad Platforms") on your behalf. This may include:

Brand Assets shared: Logos, trademarks, product images, ad creatives, copy, videos, and other marketing materials
Ad Platforms receiving data: Google Ads, Meta Ads (Facebook and Instagram), LinkedIn Ads, TikTok Ads, X (Twitter) Ads, Pinterest Ads, and other advertising networks
Campaign data: Performance metrics, targeting parameters, budget information, and analytics

Each Ad Platform is an independent data controller with its own privacy policy and data practices. Scout7 does not control how Ad Platforms process your data once it has been submitted to their systems. You should review the privacy policies of any Ad Platforms used in connection with the Services.

You may revoke this authorization at any time by discontinuing the use of advertising features within the Services or by contacting us at privacy@scout7.ai. Revocation does not affect data already submitted to Ad Platforms.

15. Confidential Information

In connection with the Services, each party may receive or have access to information that is confidential or proprietary to the other party ("Confidential Information"). Scout7 treats Confidential Information in accordance with the confidentiality obligations set forth in our Terms of Service.

Our commitments regarding your Confidential Information:

We hold your Confidential Information in strict confidence
We do not disclose it to third parties except as expressly permitted in our Terms or with your prior written consent
We use it solely for the purpose of providing and improving the Services
We protect it using at least the same degree of care we use for our own confidential information

Exceptions: Confidential Information does not include information that is publicly available, was already known to the receiving party, was independently developed, or was received from a third party without restriction.

We may disclose Confidential Information when required by law, regulation, or court order, with prompt written notice to you where legally permitted. Confidentiality obligations survive termination of the Services for three (3) years.

16. Portfolio and Showcase Use

Scout7 may use deliverables generated through the Services on your behalf ("Client Work") for its own marketing, promotional, portfolio, case study, and demonstration purposes. This includes the right to:

Display Client Work on Scout7's website, social media channels, sales materials, and investor presentations
Identify you or your brand by name, logo, or trademark in connection with such use
Describe the nature of the services provided

Your right to opt out: If you do not wish for your Client Work or brand to be featured, you may opt out at any time by providing written notice to privacy@scout7.ai. Upon receipt, Scout7 will cease using your Client Work in new marketing materials within thirty (30) days. Materials already distributed prior to your opt-out request are not subject to recall.

17. Do We Make Updates to This Notice?

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised "Last updated" date.
